    Roles and responsibilities in New (content) Intranet


    Intranet Development Board (IDB)

    • Have an overview over Fortum intranet needs, possibilities and limitations

    • Make decisions or approve/recommend "small" development areas

    • Prioritize and schedule changes

    • Ensure that all possible effects have been checked and secured

    • Ensure that changes are made in an optimal way

    • Members: Digital Channel Development Managers, Editor-in-Chiefs, Channel Managers

    Role of Editor-in-Chiefs

    • Plan the content of intranet start page (banner, alerts, mega drop down, footer) , news (Headline news) and company channel with the Internal Comms. Network members

    • Monitor the comments of corporate news along with the owner and publisher of the news.

    • Coordinates and oversees the whole intranet content structure

    • Proactive cooperation with main channel owners

    • Make sure that corporate guidelines and directives of intranet are followed; Editor- in-Chiefs are the member of Intranet Development Board (IDB)

    • Every language site has its own Editor-in-Chief (English is the master)

    Role of the Channel Manager (News, Services, Company etc.)

    • Plan the content of the owned channel with the sub-channel content owners

    • Coordinates and oversees content structure per channel

    • Proactive cooperation with sub-channel content owners

    • Make sure that corporate guidelines and directives are followed

    • Channel Manager is the member of Intranet Development Board (IDB)

    Role of the Content Owner

    • Ensure content quality, relevance and validity

    • Ensure the publishing resources in the division/function

    • Responsible for the language translations

    Role of the Main Publishers in the Divisions/Service Units

    • Super-user of CMS tool with wider publishing rights

    • Makes sure that corporate guidelines and directives as well as general site design are followed

    • Coordinates/oversees translations, publishing of the division´s news and content if this has been agreed

    Role of the Content Publisher

    • Basic editing rights/knowledge for publishing news, events, notices, content sites and pages

    • Publishes content assigned by the Content Owner

    • Makes sure that corporate guidelines and directives as well as general site design are followed (& how to write to web)

    Main User

    Purpose:


    Main User role’s main purpose is to lead and guide Division/Unit’s use of Sharepoint Workspaces to utilize the application most efficient way from Business point of view.

    Responsibilities:



    • Create and Maintain Division/ Unit Workspace (site) structure which meets business needs and usability for relevant user groups

    • Ensure that all content of the Division/ Unit on the workspaces has got an responsible owner

    • Ensure that Division Information Management/ Document Management instructions are applied

    • Support the Site Owners to set up, configure and use the sites based on Division’s specific requirements

    • Liaison Division/ Unit’s issues between the DM CAT, Document Management and SP2013 Support organizations

    • Participate in Main User Network activities.


    Site Owner

    Purpose:


    Site Owner Role’s responsibility is to deploy Workspaces and oversee their content based on the Division’s/ Unit’s needs.

    Responsibilities:



    • Create and Maintain Workspace (site) to meet business need.

    • Ensure that the site is connected into the Division/Unit’s main navigation structure

    • Ensure that content of the workspace has got relevant content and user permissions

    • Ensure that Division Information Management/ Document Management instructions are applied on the site

    • Consult issues between the Division/ Unit Main User, Document Management and SP2013 Support organization
