  1. Account

    1. Entitlement

      1. Any official university organizational entity is eligible to have a have a web account.

        1. Student Organization – Any student organization may have a web account, but must first register through Student Programs and name a sponsor/owner as responsible for the content

      2. Any faculty member may have a personal web account.

      3. Any staff member or person affiliated with Tulane may have a web account if it is for teaching purposes only.




    1. Expiration

      1. Non-use – After 120 days, an alert will be sent to the designated contact/owner of the web account to re-confirm and update all owner info. If the person does not reply within 30 days, the account is deleted. The review of inactive accounts will be conducted at the beginning of the Spring, the Summer and the Fall semester.

      2. Method – Account will first be suspended and archived (via adsm tape backup). After 30 days the account and all content will be removed from the server. The account will remain on the tape backup.

        1. Notification – Responsible person will be contacted via email located within the site content or the account information (this due to inaccurate records)

        2. Removal – see b.

  1. Content

    1. Prohibited

      1. Advertising for any commercial gain including any link-through schemes, banner ads for commercial ventures, or direct marketing of any product or service. Any material that is violation of the Policy on the Use of Computers and Networks (http://security.tulane.edu/AcceptableUse.htm)




    1. Sanctioned

      1. Content keeping with the educational mission of the university, advancing and promoting the academic or institutional work of the University, the Department or Professor or beneficial to students in the educational process.




  1. File Storage

    1. Size – Quota of 100MB

      1. Exception Request Method

        1. Exception Request Justification

          1. Email sent to webhelp@tulane.edu, demonstrating that currently stored data is still accessed and relevant, including any academic relevance of new information, and explanation of large files ( movies, digital data, etc. ).

        2. Exception Request Decision

          1. Decision will be made by web server administrator and/or systems administrator. Appeals for refused requests should be directed to the Chief Information Office or designate.

    2. Duration

        1. Exception Request Justification

          1. As above, older, infrequently-accessed data must be justified to retain past 3 years.

        2. Exception Request Decision

          1. As with quota exception requests




  1. Enforcement

    1. Notice – notice will be sent from the webmaster and cc’ed to the systems administrators

    2. Removal – archive of site, then removal

    3. Suspension of Account – suspension locks out user from logging in

  2. Audit

    1. System Monitoring – Systems will be monitored in an ongoing basis for size, quota limits, content, and processor usage. Administrators are entitled to see everything within a user account. There is no assurance of privacy on a public web server.

    2. Warning notification – If in violation of any of the above, including academic relevance, an alert will be sent out by the webmaster and/or the system admin to the supervisor, dept head, etc.

  3. Services Provided

    1. Services include account creation, space management, monitoring. If needed, interaction with available database (MySQL) and scripting language (PHP). Simple debugging/advice offered within reason.
